Building a Wedding Reception Timeline That Actually Works
The couples who brief their entertainer thoroughly always have smoother receptions. This isn’t about micromanaging: it’s about giving a professional the information they need to do their best work.

Key music moments your entertainer needs to know
Your DJ should receive a written brief covering every music cue well in advance. Ideally, aim to provide it at least two weeks before your wedding.
Key moments may include:
– Guest Arrival Music
– Bridal Party Entrance
– Speech Stings / Speech Walk Up Music
– First Dance
– Parent Dances
– Background music during dinner
– Cake Cutting
– First Party Song
– Bouquet toss
– Departure / Final song of the night
If you have specific songs for any of these moments, confirm them early so the DJ has time to source and prepare anything that is not already in their library. At Streamline Entertainment, every client receives a Wedding Music Form as part of the planning process to help us bring each of your key moments to life. It allows us to understand your preferences and ensure the music for your celebration feels considered, personal and distinctly yours.
Additionally, it is worth to note that not every tradition needs to be included. Whether you choose a cake-cutting song, bouquet toss or garter toss, we are happy to keep the formalities as structured or relaxed as you prefer.

How a run sheet keeps your Perth wedding entertainment on schedule

A wedding run sheet is the master document that coordinates your entire evening. Sharing it with your DJ, MC, venue coordinator and photographer keeps every key supplier aligned.
Experienced Perth DJs and MCs will often contribute to building the run sheet rather than simply following it. This is because they understand how long wedding transitions realistically take, which is something many couples underestimate.
In our experience, wedding run sheets often fall 10 to 30 minutes behind schedule. This can happen for several reasons, including delays in the kitchen, speeches running longer than expected, key members of the wedding party stepping away before a formality, or the MC not providing enough notice ahead of important moments. Although these delays may seem small, they can quickly add up and reduce your time on the dance floor.
To keep the evening on track for a midnight finish while accounting for potential delays, open the dance floor between 8:30 pm and 9:00 pm. This will preserve at least two and a half hours of dancing, even if the reception runs 30 minutes behind schedule.
Dessert service is another area where you can save time and keep things on schedule. Unless a seated dessert is important to you, consider choosing a dessert station or roaming desserts instead. A seated dessert course can add 30 minutes to the schedule, while flexible options keep the evening flowing and get guests dancing sooner.
At Streamline Entertainment, we collaborate with you on your run sheet during the pre-event planning process. This is to ensure your celebration feels effortless and flows seamlessly.
Here’s an example of how a beautifully paced Streamline Entertainment wedding timeline can look like:
| TIME | ACTIVITY |
|---|---|
| 3:30 pm | Guests arrive for the ceremony |
| 4:00 pm | Ceremony begins |
| 4:30 pm | Ceremony concludes; canapés and cocktails begin |
| 5:45 pm | Guests are seated for the reception |
| 6:10 pm | Bridal entrance and parents’ speeches |
| 6:45 pm | Entrée is served |
| 7:10 pm | Maid of Honour and Best Man speeches |
| 7:45 pm | Dinner is served |
| 8:30 pm | Bride and groom’s speech and first dance, followed by a party favourite to open the dance floor |
| 9:15 pm | Dessert station opens |
| 10:30 pm | Bouquet toss (a great hack for bringing everyone back to the dance floor) |
| 11:50 pm | “Last Song” |
| 11:54 pm | “One More Song” |
| 11:57 pm | Bride and groom depart through a farewell tunnel or guard of honour |
| 12:00 am | Music concludes and guests depart |
Coordinating your entertainer with other suppliers
Wedding Entertainment doesn’t operate in isolation. After all, a seamless reception depends on your suppliers working together. For example, even a small communication gap between the entertainment team, caterer and the venue can disrupt the flow of the celebration.
With this in mind, ensure that every supplier works from the same timeline and has the relevant contact details for the day. By sharing one clear run sheet, you can keep every supplier aligned and the celebration flowing seamlessly.
Build the evening around what matters to you
Before finalising your wedding reception timeline, first decide which moments matter most to you as a couple. Whether you envision a relaxed dinner, meaningful speeches, live music or a packed dance floor, your priorities should ultimately shape the flow of the evening.
Once your vision is clearly defined, Streamline Entertainment can match you with an experienced Perth wedding DJ or artist who can create the right atmosphere. From there, they will help keep your celebration flowing beautifully from one moment to the next.
When you’re ready to start planning, contact the Streamline Entertainment team, and we’ll match you with a DJ who understands your vision and knows how to bring it to life.
